Registration

General information

Registration for the EPSC-DPS Joint Meeting 2019 is by payment of the appropriate registration fee. There is no waiving of registration fees. Please note that registration can only be processed in EUROS (no other currencies accepted).

Registration fee covers access to all scientific events, a printed copy of the programme book, as well as refreshments during the coffee breaks and poster sessions.

Online registration

Online registration at early registration rates will be possible from end of May (latest) until 31 July 2019. The registration payment can be made by bank transfer or credit card (Mastercard, VISA, JCB or American Express). As of 01 August, the late registration rates will be applied and payment of your registration will only be possible by credit card. Bank transfer payments of registration will not be possible in case of registering after 31 July 2019. Please consider that a registration at the early registration rate requires the payment of the registration amount within the deadline indicated on the invoice (14 days after receipt of invoice). Unpaid early registrations after the payment deadline will be cancelled and the late registration rates would be applied.

Name badge delivery

Participants from most European countries can choose to receive their name badges by airmail about 8–10 days prior to the conference if registering at the early registration rate and the payment is received by 31 July 2019. Although this service is not available for non-European participants, there will be a fast-track lane at the registration desk for online-registered participants to pick up their badges.

Europlanet Society and/or DPS members. If you are not yet a member, you may apply for membership (or renew your membership) at the Europlanet Society or DPS websites. Please note that membership must be obtained prior to the online conference registration.

Interested teachers (primary and secondary teachers attending only for outreach and education sessions) and amateur astronomers that are not involved in professional planetary research.

A person, who does not take part, either actively or passively, in the scientific programme but who just wants to enter the conference venue. Such a registration can only be acquired in combination with a defined active participant.

Please note that there is no maximum limitation of registrations. Day registrations are limited to one day registration per participant.

Support for selected participants

The Europlanet Society is providing a limited number of bursaries (in the form of a flat rate) to Early Career researchers (notably PhD students) presenting work at the meeting and participants from under represented countries (Albania, Bosnia, Bulgaria, Croatia, Cyprus, Czech Republic, Estonia, Greece, Hungary, Kosovo, Latvia, Lithuania, Malta, Montenegro, Moldavia, North Macedonia, Poland, Portugal, Romania, Serbia, Slovakia, Slovenia and Ukraine). To be eligible for a bursary, you must be a member of the Europlanet Society. Please access the bursary application form at https://www.europlanet-society.org/epsc-bursary-registration-form/. The DPS Susan Niebur Professional Development Fund provides financial assistance to qualifying members of the DPS in order to facilitate their meeting attendance by offsetting dependent care costs (such as child care, elder care, spousal care, etc) at the meeting location, or at home, during the DPS conference week. For 2019, the DPS Professional Development Subcommittee will accept applications for dependent care subsidies to assist an eligible DPS member to attend the Joint DPS - EPSC Meeting in Geneva, Switzerland (September 2019). The deadline for applications is 12 August 2019. Please access the grant application form at https://dps.aas.org/development#grants. On-site registration

On-site registration at late registration rates will be possible during the conference week (payment by cash or credit card) at the times given below.

Please note that only Euros can be accepted for cash payments.

Terms and conditions

General

  • Early registration must be accompanied by payment. Otherwise, it will not be processed and the late registration rates will be applied.
  • Registrations are for the persons specified and are non-transferable.
  • Changes to registration invoices are only possible with regard to the invoice address or order references. Any such claims must be received by Copernicus Meetings no later than 6 weeks after the last day of the conference. Later requests cannot be considered.
  • Changes to the registration rate selected in the finalized registration form, including received invoice, can only be realized for unpaid invoices. Then, the attendee is asked to cancel the registration order and to place a new order through the registration form, including the correct registration rate. Please note that the deadline for early registration is also valid in such cases.

Cancellation policy

  • Registration fees will only be refunded if the notice of cancellation is received by Copernicus Meetings before 21 August 2019.
    The cancellation fee is €50.
  • Cancellations after 21 August 2019 and no-shows are not eligible for a refund.
  • There is no reason (including but not limited to illness, inability to travel, visa application rejection, travel restrictions, etc.) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable.

Importance notice

  • Once your payment has been processed, you will be informed by email with your receipt and your invoice attached.
  • All registrations will be registered through the Copernicus Office Trader, which will also allow the registrants to monitor their entry.
