How to submit an abstract?

Late poster abstract submission

EPSC and DPS welcome late abstracts.

Submission of a late poster abstract will be possible from 11 to 31 July 2019 in a dedicated "late poster session". Please access the late poster abstract submission and follow the instructions for the regular abstract submission below. The deadline for late poster abstracts is 31 July 2019.

The submitted late abstracts will be carefully evaluated. Those that will be accepted, will be available online, and to search engines.

Thank you very much for your interest in the EPSC-DPS Joint Meeting 2019.

EPSC and DPS welcome abstracts from every member of the community, to ensure participation is diverse and representative. Abstracts are particularly welcomed from traditionally underrepresented groups so that sessions can be fairly balanced for, for example, gender, career age and nationality and other characteristics.

The following steps should give you a guideline for the submission of your abstract. You are kindly asked to prepare your abstract as PDF file locally on your own computer, using the templates supplied below, and then to submit the PDF you have generated. Abstracts may be up to two pages in length and may include figures. Please feel free to include as much or as little detail as you feel is appropriate to summarize your presentation. These will be available on line, and to search engines.

  • Browse through the session programme and select the session of your interest.
  • Use the link "Abstract submission" at the respective session.
  • You are asked to login to the Copernicus Office Meeting Organizer. Use your account data or create a new account.
  • Fill in the submittal information about title, author(s), and affiliation(s) of author(s). Please note that each author must be entered with full first name, last name, and email address. The identical list of authors and affiliations must also be entered in the abstract template for your pdf file.
  • Use the template for WORD (doc) or LaTeX (tex) to generate your two page abstract as a PDF file; important: please check that the page size of your generated PDF file is 237 (height) x 180 (width) mm.
  • Provide a summary of your contribution (e.g. the content of your "Abstract" paragraph) in the text box. Please note that this summary will later be used for indexing your abstract.
  • Upload your prepared abstract PDF file via the "Browse" button.
  • The online system then embeds your abstract PDF file in an umbrella template including the automatic generation of the actual citation header. The outcome is a complete abstract PDF file including citation. Please note that your abstract must not exceed 2 pages.
  • Check the generated PDF file of your edited and formatted abstract. Please note that this PDF is only a preview file (indication "PREVIEW" is highlighted in the abstract header) in order to enable you to check the input. Close the webbrowser PDF preview (either browser tab or browser window) and click on "Submission" to finalize the process.
  • If you are having problems to convert your prepared abstract to the non-standard format of 237 x 180 mm, please submit your abstract with a standard pdf (A4 / letter) first. After the submission, in case of such difficulties, please send us your abstract identification number and your prepared abstract (as .doc or .tex file) by email in order for us to convert your abstract to the proper format.
  • If the conversion of your abstract fails, please specify your problems, we will then take care of solving these problems.

General remarks

  • Abstracts should be clear, concise and written in English with correct spelling, grammar and good sentence structure.
  • Abstracts must not exceed 2 pages and should be completed using the templates provided above.
  • It is recommended to make it readable as a short scientific publication.
  • We recommend that the abstract is carefully compiled and thoroughly checked, in particular with regard to the list of authors, before submission in order to avoid last minute changes.
  • The submission of an abstract carries with it the obligation that it is actually presented at the meeting by the author or, at least, by one of the co-authors.
  • The official language of the EPSC-DPS2019 is English. Simultaneous interpretation is not provided. It is therefore expected that authors are able to present their research in the English language.
  • The content of EPSC-DPS2019 abstracts is the responsibility of their authors. EPSC-DPS2019 reserves the right to reject abstracts that are not written in English, do not meet basic standards of scientific quality, do not adhere to the code of conduct or do not adhere to the required template.
  • Submission of the same abstract to more than one session is not allowed. Duplicates identified by the Scientific Organizing Committee will be rejected. However authors are permitted to submit more than one abstract if those abstracts are different.
  • By submitting an abstract, authors accept the EPSC-DPS2019 licence & copyright agreement.
